Job Profile: :
• To manage the reception counter
• Take and relay messages
• Provide information to callers
• Greet persons entering organization
• Direct persons to correct destination
• Deal with queries from the public and customers
• Answer telephone, screen and direct calls
• Maintain information of staff movements in and out of organization
• Monitor visitor access and maintain security awareness
• Provide general administrative and clerical support
• Prepare correspondence and documents
• Receive and sort mail and deliveries
• Organize conference and meeting room bookings
• Co-ordinate meetings and organize catering
• Monitor and maintain office equipment
• Control inventory relevant to reception area
• Maintain the cleanliness and neatness of reception area including co-ordination with newspaper suppliers, flower vendors
• Providing assistance to senior management team including scheduling appointments, arranging meetings, conferences, travel and stay arrangements.
• Handling of telephone calls, visitors and correspondence.
• Preparing and distribution of documents, reports for meetings.
• Drafting of letters and other official correspondence and preparation of presentations, reports, etc.
• Preparation of MIS reports based on information received from various departments.
• Setting up a systematic system for arrangement and retrieval of letters, reports and documents.
